New users are added from User Management. In the current workflow, an administrator creates the user record, chooses the user’s access, and sends an invitation email. The invited person accepts the invitation and creates their own password. The user’s email address is their username. There is no separate username to give them.

Steps

  1. Open User Management.
  2. Stay on the App Users tab.
  3. Select Add App User.
  4. Enter the user’s first name, last name, email address, and title.
  5. Choose whether the user should have All projects access or Specific projects access.
  6. Choose the correct Permission template.
  7. If you selected Specific projects, choose the projects the user should access.
  8. Select Send Invite.
Use All projects for employees who should see every current and future project. Use Specific projects only when the person should be limited to selected projects. Project-only subcontractors, owner contacts, and other external project users are normally added from the project directory inside the specific project. The Project Access tab in User Management is a read-only view of people who already have project-level access.

What the Invited User Does

  1. They receive an email from Alleato.
  2. They select Accept invitation.
  3. They land on Create your password.
  4. They create a password for their account.
  5. They log in with their email address and the password they created.
If the person later lands on the login page, they should use the same email address that received the invite. That email address is their username.

Check Before Sending

  • Use the company email address that should own the account.
  • Confirm whether the person needs Admin, Project Manager, Superintendent, or another permission template.
  • Confirm whether the person should have All projects access or only selected project access.
  • For subcontractors and owner contacts, confirm whether they should be added through the project directory instead of App Users.

If Something Looks Wrong

If the invitation fails or the person does not receive it, use feedback or ask Ask Alleato to help identify whether the user already exists, whether the email address is correct, or whether the invitation needs to be resent. If the person can open the login page but cannot sign in, confirm that they accepted the invitation and created a password first. If they already created a password, they should log in with their invited email address and that password.
